For residents

Clubhouse Rental Agreement

The following rules apply to use of the Quail Creek Clubhouse and are provided to promote the enjoyment of the facilities for all residents.

The following agreement has been developed to insure that parties using the Clubhouse know and understand the rules that apply to its use. The Clubhouse belongs to all of us, so please treat it as you would your own home.

This agreement must be read, signed and returned prior to obtaining the key to the clubhouse.

The Quail Creek property owner(s) making reservations will be called the "Event Host" and must be present for the duration of the rental period.

Clubhouse Parties

  • Any resident renting the clubhouse must be current with their dues.
  • If the party flows into the pool area, whether you are swimming or not, an extra lifeguard must be hired from GNO Property Management.
  • When the clubhouse is rented, the pool area will still remain open for residents during the event.
  • No smoking is permitted in the clubhouse or pool area at any time.
  • The property owner reserving the clubhouse must be present throughout the entire event.
  • The clubhouse must be chaperoned by an adult at all times during the usage of the facilities by minors.
  • At no time will the serving of alcohol to minors be permitted.
  • All private Clubhouse parties should be limited to 50 people per the Fire Marshall of the State of Louisiana.
  • Events must be over by 12 a.m. (midnight) and cleanup must be completed by 1:00 a.m.
  • The key to the Clubhouse will be given to adult resident only.

The Event Host is responsible for:

  • Returning the key to the designated location at the time specified by the committee member
  • Turning off air conditioner/heater
  • Turning off inside and outside fans
  • Resetting security alarm
  • Locking all exterior doors

Clubhouse doors and windows should remain closed during parties. Exceptionally loud music, excessive drinking of alcoholic beverages, underage drinking per Louisiana law, and obnoxious behavior is prohibited.

Clubhouse doors to the pool area should be kept closed and locked for events that do not include pool use.

The Event Host must supply additional chairs, tables, dishes etc. During non-pool hours, it is the responsibility of the Event Host to replace any furniture brought into the Clubhouse for use by the party back to its original location in the pool/patio area.

Balloons should not be attached to the fans. Ribbons must be completely removed from the chairs, etc. An additional fee will be withheld from the deposit to cover removal of balloons, etc. No decorations may be taped or nailed to Clubhouse walls. Decorations may be hung from permanent nails located above doors and windowsills.

Parking should be confined to the parking lot located adjacent to the tennis courts. For safety reasons, please only use the circular drive for parking during after-hour pool parties. If parking is not sufficient for the size of your party, please park additional vehicles at your home and carpool to the clubhouse.

A licensed professional hired by the Swim and Racquet Club will assess damages which occur to the Clubhouse while the Clubhouse is under the responsibility of the Event Host. The Event Host under any circumstances should not perform repairs.

Event Host will not be allowed to rent the Clubhouse until all costs previously incurred by the Swim and Racquet Club for repairs are paid in full. The Quail Creek Swim and Racquet Club will bill the Event Host.

Pool parties can only be held on Tuesdays, Wednesdays, or Thursdays. If you do have a pool party you must rent the clubhouse and you must hire an extra lifeguard through GNO. Due to limited pool seating and our pool occupancy numbers for 457 homes, we cannot have pool parties on Fridays, Saturdays, or Sundays — those are our busiest days for residents.

Cleanup and Handling of Garbage

All food, drinks, trash, and decorations should be removed from the interior and exterior of the Clubhouse and pool areas. All trash should be bagged and placed in trash cans as follows.

Open pool season – All trash should be bagged and placed in trash cans located outside at the back of the Clubhouse for parties held Tuesday through Thursday evenings. The lifeguards will place the garbage cans out for trash pickup. A garbage can will be housed on the side front patio for placement of trash for parties held from Friday through Monday evenings. Event Hosts are responsible for placing the garbage can(s) by the street on Monday evening or Tuesday morning (not prior to).

Closed pool season – Event Hosts are required to place bagged trash in the garbage can(s) located on the side front patio. Event Hosts are responsible for placing the garbage cans at the end of the driveway by the street on either Monday or Thursday evening following the party and for replacing the garbage cans on the side front patio after garbage pickup.

The Event Host should take excessive trash that will not fit in the garbage cans home. Bags of garbage should not be left lying around the pool or patio areas.
